Timelines, payments & the details that matter

What to expect before you commit to a project.

Estimated timelines

Simple tools and single-purpose portals: 2–4 weeks.

Mid-size systems with multiple features or roles: 4–8 weeks.

Larger platforms with integrations and complex workflows: 8–16 weeks.

Payment & deposit structure

A 50% deposit is required to begin work, with the balance split across project milestones and due in full at launch.

No work begins until the proposal is signed and the deposit is received.

Revisions

Each project includes a set number of revision rounds during the review stage, agreed to upfront in your proposal.

Additional revisions or scope changes outside the original proposal are quoted separately.

Hosting & maintenance

Your software can be hosted on your own accounts or through EV1 Media's infrastructure.

Optional monthly support plans cover hosting, updates, backups and priority bug fixes after the first 30 days.

Software ownership

Once the project is paid in full, you own the finished software outright — including the source code.

There's no vendor lock-in and no ongoing licensing fee required to keep using what was built.

Security & data handling

We use secure authentication, encrypted connections and access controls appropriate to the data your system handles.

Sensitive data (member records, payment details, personal information) is scoped and protected as part of the build — never as an afterthought.

Integrations

We connect your software to the tools you already use — Google Workspace, payment processors, email and SMS providers, calendars and existing databases.

Who owns the idea

You bring the problem and the workflow. We bring the technical build.

Every proposal is written in plain language, with no surprise fees added after the deposit is paid.

Do I need to know exactly what I want before I contact you?

No. Most clients start with a problem, not a finished spec. The discovery call is where we turn that problem into a clear, buildable scope.

What if my organization already uses spreadsheets or another tool?

That's normal. We review what you currently use, migrate the data that matters and design the new system to replace the manual parts of your workflow.

Can the software grow with my organization later?

Yes. We design systems with future features in mind, and additional phases can be scoped and quoted separately once the first version is live.

Do you offer ongoing support after launch?

Every project includes 30 days of post-launch bug fixes. Optional monthly plans are available for hosting, updates and continued support after that.

Who owns the software once it's finished?

You do. Once the project is paid in full, you receive full ownership, including the source code — no ongoing license is required.
